How we handle the personal details you give us, and your rights over them.

Your privacy

This policy explains what personal information Moston Roofing Limited collects through this website and in the course of our work, why we use it, who we share it with, how long we keep it, and the rights you have over it.

In this policy 'we', 'our' and 'us' mean Moston Roofing Limited. It is written to meet our obligations under the UK GDPR, the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations.

1: Who we are and how to contact us

Moston Roofing Limited is the data controller for the information described in this policy. We are registered in England and Wales, company number 10769531, at 163 Holland Street, Denton, Manchester, M34 3GG.

If you have a question about this policy, want a copy of the information we hold about you, or want it corrected or deleted, contact us by email at info@mostonroofing.co.uk, by phone on 0161 359 5276, or by post at the address above.

We have not appointed a Data Protection Officer, as we are not required to. Data protection enquiries are handled directly by the business.

2: The information we collect

When you contact us. If you send an enquiry through this website, or ask for a quote or a roof survey, we collect the name, telephone number, email address and postcode or address you give us, along with whatever you tell us about the work you need. If you tell us how you heard about us, we record that too.

How you reached the site. When a form is submitted we also record the page you were on, the button you used, the website or search that sent you to us, and any campaign tags on the link you followed. This is what tells us which of our adverts and directory listings actually generate work. It is attached to your enquiry, so where it relates to you we treat it as personal information.

If you become a customer. We hold what is needed to carry out and guarantee the work: the site address, job records, survey and progress photographs of the property, quotations, invoices and payment records.

Calls and emails. We keep correspondence with you and the notes we make about a job.

Technical information. Our web server keeps standard logs, including the IP address a request came from. We use these to keep the site available and to stop automated abuse of our enquiry forms.

If you accept optional cookies we also receive information about how the site was used — pages viewed, approximate location by region, and the type of device and browser. See section 5.

We do not ask for and do not want payment card details through this website.

3: Why we use it, and our lawful basis

To answer your enquiry and prepare a quotation. Our lawful basis is taking steps at your request before entering into a contract, and our legitimate interest in replying to people who contact us.

To carry out the work, administer guarantees and deal with any later claim. Our lawful basis is performance of our contract with you, together with our legitimate interest in being able to stand behind the guarantee we have given.

To meet our legal obligations, including tax, VAT and building control records. Our lawful basis is compliance with a legal obligation.

To keep the website secure and prevent automated abuse of our forms. Our lawful basis is our legitimate interest in protecting the site and our inbox.

To measure how the website performs and whether our advertising works. Our lawful basis is your consent, given through the cookie banner, and you can withdraw it at any time.

The enquiry form asks you to confirm you are happy for us to contact you about your enquiry. That covers contact about that enquiry only. We do not send newsletters or marketing emails, and we do not sell, rent or trade your information.

4: Who we share it with

We keep the number of people who can see your information as small as we can. Depending on what you have asked us to do, it may be handled by:

  • Revonik Ltd, our website provider, which builds and maintains this website and the systems that receive your enquiry, acting only on our instructions;
  • our hosting provider, which stores the website and enquiry records on secure servers;
  • the customer records system we use to keep track of enquiries and jobs;
  • Google, which provides the analytics and advertising measurement described in section 5, and the typefaces this site uses to display text;
  • our accountant and insurers, and — where a guarantee is insurance-backed — the guarantee provider;
  • anyone we are required by law to share information with.

Everyone acting on our behalf is required to use your information only for the purpose we gave it to them for, and to keep it secure.

5: Cookies and similar technologies

Cookies are small files a website stores on your device. Some are needed for a site to work at all; the rest are optional. This site uses very few of either.

Essential — always on. A small amount of information is stored in your browser to remember your cookie choice, to remember that you have closed one of the rating panels, and to keep track of your current visit so an enquiry can be credited to the right source. None of it identifies you personally, and the site cannot work properly without it.

Analytics — only if you accept. Google Analytics tells us how many people visit, which pages they read and how they found us. It sets cookies named _ga and _ga_ followed by a property code.

Advertising — only if you accept. Google Ads measures whether one of our adverts led to an enquiry. It sets a cookie named _gcl_au.

Nothing in the analytics or advertising categories is set until you choose Accept. If you choose Reject, those cookies are never set and Google is instructed not to store anything on your device.

Typefaces. This site loads its fonts from Google's font service. That sets no cookie, but it does mean Google receives the IP address your browser connects from — as it would for any file loaded from another website.

6: Where your information is held

The website and our enquiry records are held on servers in the United Kingdom or the European Economic Area.

Google may process the analytics and advertising information described above outside the UK, including in the United States. Where that happens, it is covered by the safeguards UK data protection law requires for international transfers.

7: How long we keep it

  • Enquiries that do not lead to work — 12 months from your last contact with us.
  • Customer records, quotations and invoices — six years after the end of the tax year in which the last job was completed, which is the period HMRC requires.
  • Records relating to a guarantee — for the length of the guarantee and six years afterwards, so that a claim can still be dealt with properly.
  • Website server logs — a short period only, for security.
  • Analytics information — for the limited retention period set in our analytics account.

When a retention period ends the information is deleted, or anonymised so it can no longer be linked to you.

8: Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • have inaccurate information corrected;
  • ask us to delete information we no longer need;
  • ask us to restrict how we use it while a question about it is resolved;
  • object to us using it where we rely on legitimate interests;
  • receive information you gave us in a portable form; and
  • withdraw your consent at any time where we rely on consent, including for cookies.

To use any of these rights, contact us with the details in section 1. We will reply within one month, and there is normally no charge.

9: Complaints

If you are unhappy with how we have handled your personal information, please tell us first. Contact us using the details in section 1 and we will look into it and come back to you.

You also have the right to complain to the Information Commissioner's Office, the UK's data protection regulator, at ico.org.uk or on 0303 123 1113. You can do that at any time, though we would like the chance to put things right first.

10: Keeping your information secure

This website is served only over an encrypted HTTPS connection, and enquiries are transmitted securely.

Access to customer records is limited to the people who need it to do the job.

Where we ask another organisation to handle information for us, we satisfy ourselves that it has appropriate security measures in place before we do.

No transmission over the internet can ever be guaranteed completely secure, but we take these precautions seriously and review them.

11: Children

This website and our services are aimed at homeowners and businesses, not children. We do not knowingly collect personal information from anyone under 18, and we do not market to children.

12: Changes to this policy

We review this policy when the way we work changes, and at least once a year. Any updated version is published on this page with a new date at the end. This version replaces the policy last revised in February 2019, and reflects the current website and the way enquiries now reach us.
